Transitioning to virtual: easily integrate your preferred virtual meeting provider into your virtual classroom using TMS.  

One of the great things about Learn on Demand Systems is that for years, we have been on the forefront of helping training companies move from a traditional brick and mortar business model into the virtual services delivery paradigmA key factor in this type of transition is recognizing the importance that training instructors and students should have the ability to be connected in real time, as part of the classroom experience. To achieve this, we have designed a very simple way of easily integrating virtual meeting providers connection URLs’ into the virtual classroom creation process within LODS Training Management System (TMS).   

In the next three sections of this article, we will demonstrate how easy it is to configure your virtual classrooms to include your virtual meeting provider of choice.  

  • Add a virtual meeting during class creation 
  • Connect to a virtual meeting as an instructor 
  • Connect to a virtual meeting as a student 

Add a virtual meeting during class creation: 

It’s quick and easy to set up a virtual meeting when creating a class in TMS, all you need is a virtual meeting provider connection URLLocating the URL in most virtual meeting provider platforms is generally straight forward, but because they are not all the same, we have included some detailed ‘how to’ information on some of the more popular platforms.  

Find your Teams meeting URL 

Start by scheduling a meeting in Teams through the Calendar. You will need to add an attendee in order to have a link display for the meeting; this may be yourself or the class instructor. Once you have scheduled the meeting, open it from the calendar to access the meeting’s URL to input in the TMS class. Right-click on the Join Microsoft Teams Meeting link and choose  Copy Link  to obtain the URL provided within the meeting invitation. Using this will log your users in without needing to input a code to enter the meeting. 

Enter your Teams URL in your Class 

If you have used the TMS before for classes, then the only new element is adding Teams for your class’ delivery. If you have not set up a class before, you can find links to additional resources below. 

  1. On the Create/Edit Class page, expand the Delivery section. 
  1. On the Delivery Type dropdown select Virtual. 
  2. The Virtual Meeting Host menu appears below with Custom Virtual Classroom selected and a URL field displayed. Input your Teams meeting URL in the URL field. 

Find your Zoom meeting URL 

Start by scheduling a meeting in Zoom. When you have completed scheduling it you can access the meeting’s URL to input in the TMS class. Copy the URL provided within the meeting invitation. Using this will log your users in without needing to input a code to enter the meeting.  

Enter your Zoom URL in your Class 

If you have used the TMS before for classes, then the only new element is adding Teams for your class’ delivery. If you have not set up a class before, you can find links to additional resources below. 

  1. On the Create/Edit Class page, expand the Delivery section. 
  1. On the Delivery Type dropdown select Virtual. 
  1. The Virtual Meeting Host menu appears below with Custom Virtual Classroom selected and a URL field displayed. Input your Zoom meeting URL in the URL field. 

Now that the connection URL is added your instructors and students will see an Enter Classroom button to access your virtual meeting from their class.

Access your virtual classroom meeting as an instructor: 

Accessing your virtual meeting space as an instructor is quite simple. When instructors go into their class, they will see the enter classroom button just below the event training key field, as shown below.  

Instructors can click this button to enter the virtual meeting space created for their class 

Access your virtual classroom meeting as a student: 

Accessing integrated virtual classroom meetings as a student is similar to the instructor experience. When the student arrives at their class, they will see an Enter Classroom button.  

The student clicks the button, they will then be connected to their instructor and fellow students via virtual meeting provider.
